Install a shoutbox in the admin forum, or moderator forum.

My Advice: use IRC.

We do the same for our staff here on vb.org. We have 3 (well more actually) chat rooms in IRC for vb.org:
- 1 for general public
- 1 for our moderators (not accessible for any others)
- 1 for our admins (not accessible for any others)

Hardly any costs and no influence on your server performance (if you just use an existing IRC network).

PJIRC has a version that integrates with vB. I've been thinking about trying it out for a new site. Though, for administrative stuff we use the voice chat Ventrilo.

Be careful calling that "integration". It gives you an easy path to the irc server and automatically uses your forum username but it DOES NOT register you with nickserv on the irc server (I'd go on but you probably already know what that can cause. ). For true integration you'd need your own irc server and the ability to sync up accounts between the forum and nickserv.

Ah the joy of teaching newbies irc commands.
